We're looking for a Backoffice Manager (f/m/d)

You’ll be part of a dynamic start-up team of over 20 people (and growing), collaborating directly and indirectly with internal departments and external consultants.

What you’ll be doing:

  • Accounting & Invoicing: Handle day-to-day accounting tasks, including managing invoicing and transactions to ensure timely and accurate financial operations in close cooperation with our tax advisor and our CFO.
  • Payroll & Benefits Management: Prepare payroll processes and employee benefits, ensuring timely processing and proper management of all related aspects.
  • Legal Coordination: Work closely with the Legal Counsel to manage legal documents and contracts, assist with template management, and oversee the legal signing process using company tools.
  • Handle Ad Hoc Tasks: Take ownership of various backoffice tasks as they arise, ensuring that day-to-day operations run smoothly and efficiently. You will be the go-to person for miscellaneous administrative and operational responsibilities, providing cross-departmental support wherever needed to maintain organizational efficiency and to address any unforeseen challenges, demonstrating flexibility and adaptability in managing diverse assignments.
  • Drive Innovation & Efficiency: Continuously improve and modernize processes across records management, accounting, payroll, and legal operations. Collaborate with key stakeholders to identify and implement tools and technologies that enhance operational efficiency and support the company's growth and scalability.
  • Manage Records & Correspondence: Oversee and maintain the company's records, ensuring all important correspondence is tracked and that management is kept informed of key information.
  • Policy Implementation: Collaborate with our Management to develop and implement company policies and procedures that comply with relevant regulations.

What you bring to the table:

  • Successfully completed vocational training, preferably Management Assistant of Informatics or similar educational background
  • Proven knowledge, particularly in the field of accounting as well as IT- and internal processes
  • High motivation, sense of responsibility and initiative
  • Fluent skills in both written and spoken business German and English
  • Independent, structured and process-oriented way of working
  • Experience with Personio, Google Workspace, Slack and Notion
